Minutes from October Meeting
General Meeting Minutes Oct 8th at Rancho
Cucamunga Hosted by the Nite Owl Guild
Meeting was called to order at 10AM.

Members were welcomed by Carolyn Barnett
of the Nite Owl Guild. She provided
information to various malls and shops. Kaaren
Nowlin provided Sharon, Nite Owl president,
with a check for $500 to cover costs of the
meeting.


New member guilds or new representatives
were introduced and welcomed. Verification of
a quorum was made.


Cathe Hedrick notified the membership that we
are looking for guild sponsors for the 1212
meetings, especially for the April meeting
(requiring a larger facility) which is the meet the
Teachers session. January and July are filled.
October and April are open.


In Don Beldʼs absence, the treasurerʼs report
was available at tables in the back of the room.
Copies were passed out to any members
requesting them. The web hosting amounts
had a proposed increase of $2000 to a total of
$3900. A motion was made to increase fund
against possible change request. Motion was
made, seconded and approved by the
membership.


Jan Steffen, membership and website
reminded the representatives of the need to
send in the insurance requests. The
newsletter requires subscribing in the new
format. Use info@sccqg.org to correct any
problems on the site. The new web
management is trying to correct website
problems. One of the members suggested
specific instructions for new representatives be
added to the site. A number of the members
brought up the difficulties with finding
information on the website.


A request to approve the general meeting
minutes published in the newsletter was made.
A motion by Linda Rasmussen was made and
seconded by Colleen Snier. It was approved.

Pam Overton, insurance, reported that
September 29th was the date for renewal by
member guilds. Certifications are available –
packets are at the back of the room. When
requesting one, include the contract for the
facility. This cycle for the insurance is different
from membership, which is due the end of the
year. Pam also reported that Carolyn of Road
to California would allow an information table if
volunteers kept the table cleaned up during the
show. Pam was looking for volunteers.


Becky Miller, standing in for the Parliamentarian held the election of officers. 2
year terms were open for treasurer, Insurance
and secretary. VP for programs and secretary
were being elected to fill in for vacated
positions due for re-election next year.
Nominations were requested from the floor –
individuals being nominated had to be present
to give their approval and willingness to serve.

Membership approved slate without any
dissenting votes.


Kaaren reminded the membership that board
meetings were held at 9AM before most of the
general meetings. The guilds were allowed to
make some general announcements about
shows.


Program: “What Can SCCQG do for you?”
Open Forum of Questions and Answers.


1) Financial Questions were returned to
be answered by Don Beld.
a. Question: Why canʼt quarterly
financial statements & budgets
be sent to the guilds before the
meetings? All guilds need to
see them, not just the guilds
attending the quarterly
meetings.


2) Question: How can we Improve
communication and information flow
from SCCQG and from guild to guild?
a. Enhance the website – the
website is new and is still a
work in progress. If there are
issues with information on the
web, use the info@sccqg.org
email to request changes.
b. Guilds do not always send in
information on new officers
c. Allow guilds input the new
officers themselves (this did not
guarantee updates in the past)
d. Have a backup assistant for the
webmaster
e. Form a committee with
membership from member
guilds to look into approving the
website.


3) There was a motion from the floor to
form a committee to make
recommendations about web site
changes. Joann Bishop seconded the
motion. It was passed. Tina Nord of
the Santa Monica Guild and Janice
Roffredo of San Fernando Guild were to
coordinate the meeting and possibly
snail mail all guilds for input on
improvements. A list of committee
members was collected.


4) Question: How can new
members/delegates get assistance
about SCCQG?
a. Create a new page with
information specifically directed
at new representatives
containing information about
what is expected and what they
need to do.


5) Question: Is it possible to host
templates/samples of useful documents
on the SCCQG website:
a. Contracts for workshops
b. Raffle quilt required by state
c. SCCQG representative binder


6) Question: A program to cover legal
obligations of guilds as a program.
Suggestions: Have backups for board
members when emergencies occur. Robin
form the El Camino Guild volunteered to help
Jan with membership and website when she
had to travel.
